Cancellation Policy

Life “happens” and we understand that sometimes it may not be possible for you to attend your physio appointment at the Farndon or Tattenhall clinic. We do, however, often have a list of people, who may be suffering and in pain, waiting for an appointment, so it's important to contact us in good time if you are unable to attend for any reason. This will enable us to provide appointments to people who desperately need treatment. It is however also important to understand that last minute cancellations or missed appointments make it difficult for us to offer someone else a treatment slot. Additionally, as a small local business, lost appointments have a damaging affect to our income and so our ability to help you. With these points in mind, we have produced a Cancellation Policy that helps both you and us determine how cancelled appointments are dealt with.

  • You may cancel your appointment at any time, at no cost, until 24 hours before your appointment.
     

  • If you cancel your appointment less than 24 hours before the scheduled appointment start time the full cost of the appointment will be invoiced/charged. There are certain exceptions, for example, if you contract Covid or have a bereavement. 
     

  • If you fail to attend your appointment without notice, the full appointment fee will be chargeable. 

 

  • If you cancel a booking with sufficient minimum notice and you have made payment in advance, we can either, refund the payment amount to you or carry over the amount to another treatment provided you have booked an appointment.

 

  • In the event of the physiotherapist cancelling or amending your appointment, we will endeavour to contact you by telephone or text as soon as possible. In the event of illness, this may be at short notice. You will be offered an alternative appointment as soon as possible. 

 

  • We are a small clinic and will often be treating patients, which means we do not always have immediate access to emails or social media during the day.  If you need to cancel your appointment, please TELEPHONE the clinic wherever possible and leave a message, as we are able to access voicemail messages between patients.

  • You may text your clinician directly if they have provided a mobile number AND they have agreed to correspondence via messaging.

 

  • If you email to inform us about a cancellation you must do so at least 48 hours before your appointment.

 

  • If you are paying for treatment via your insurance company, please note that your insurance WILL NOT cover late cancellation or failed attendance fees – you will be liable for the costs.
